40% Programming, Media, and Outreach Coordinator


  • Media and Outreach



  • Administers all AEC social media accounts to ensure updated and consistent content.

  • Designs and distributes high-quality text, image, and video content for social media, website, and print.

  • Designs marketing/informative marketing materials for AEC courses and services.

  • Develops and maintains day-to-day engagement strategies for AEC social media accounts.

  • Assesses and reports on social media engagement and recommends changes in strategy.

  • Coordinates and edits photography and videography for recruitment and outreach efforts.

  • Assists with website updates and design.

  • Programming



  • Plans, coordinates, and conducts daily conversation groups and other cultural activities/events for AEC students.

  • Accompanies AEC students on local and out-of-town cultural activities, driving KU 12-passenger van as needed.

  • Attends and prepares for events representing the AEC and student services (tabling & recruiting).

  • Attends planning meetings for KUIA/ISS events/activities.

  • Collects and analyzes data about student services to drive necessary improvements/changes.

40% Coordinator of front desk and student services

  • Hires, schedules, supports, and provides on-going training of student assistants for Language & Culture Liaison (LCL) positions.

  • Supervises LCLs in their roles as front desk staff, conversation group leaders, and computer lab support.

  • Provides on-going training and evaluation.

  • Provides backup coverage to front desk, conversation groups, and LEO Lab, as needed.

  • Approves work time for student assistants.

20% General Administrative Support

  • Enrollment Support



  • Assists with entering pertinent enrollment information and allowances into Jayhawk GPS.

  • Assists with enrolling students during regular enrollment and pre-enrollment; updates enrollments as needed.

  • Assists with explaining the enrollment process to students.

  • Other Administrative Duties



  • Assists with special programs such as the TEFL Certification Program.

  • Stocks and maintains printers.

  • Manages inventory of cabinet keys and equipment.

  • Assists with supply inventory.

  • Represents the AEC on various university committees as needed.

  • Provides general administrative support as needed.

  • Provides backup for website (trained on CMS).

  • Handles US and campus mail (outgoing & incoming).

  • Provides information about AEC policies and procedures to students, staff, faculty, the University, and the general public.

  • Maintains budget parameters with scheduling, activities, events, and supplies.

  • Coordinates with AEC Assistant Director of Business Operations regarding hiring procedures, finances, and purchasing of materials/tickets.

  • Reviews and proposes AEC activities to supervisor for budget approval.

Required Qualifications



  • High school diploma/GED equivalency PLUS four (4) years of *office experience. Four (4) years of post-secondary education may be substituted for the office experience.

  • Prior work experience with social media, as evidenced in application materials.

  • One year of experience in a professional office setting.

  • Excellent written communication skills, as evidenced by application materials.

  • Experience working with diverse and/or international populations.

  • Experience using Microsoft Office Suite.

  • Valid U.S. Driver's License upon hire and throughout duration of employment.

Preferred Qualifications



  • Bachelor's Degree.

  • One (1) year of experience with enrollment procedures at an educational institution.

  • Experience supervising students.

  • At least one (1) year of experience working with confidential records and commensurate knowledge of rules, regulations, policies and procedures related to privacy (e.g. FERPA).

  • Travel or residency outside the United States.

  • Knowledge of a language other than English.

  • Experience handling confidential information and/or records i.e. - FERPA.

The Student Services Coordinator promotes and enhances communications with current and prospective students through social media posts and campaigns, marketing materials, and various other communication venues while striving to increase the AEC's visibility online, on campus, and worldwide. In addition, they design and assist with student programming and outreach initiatives, supervise and support student workers, manage the front desk, and provide diverse and specialized administrative support work to the Applied English Center. Furthermore, they serve as an information resource person for international students, staff, and the general public. Work is typically done with indirect supervision.



About the Applied English Center (AEC)

The AEC focuses on academic English and helps prepare students linguistically, academically, and culturally for their program of study. Working with beginning to advanced English speakers, the AEC offers an array of programs and services such as tutoring, advising, customized courses, and various events and activities.
