Job Summary/Basic Function
The Administrative Specialist of Interdisciplinary Projects reports to and is supervised by the Center for Science and Mathematics Education (CSME) director. The individual will also support co-directors and students of the new Environmental Science (ENVS) program in the College of Science. Additionally, the individual will work closely with the College of Science (CoS) dean's office in order to act as a liaison and budget manager for major projects, connecting with multiple faculty and staff across the college as well as with the Office of Sponsored Projects (OSP). The individual will coordinate and manage projects involving multiple faculty and departments, administer advising to students, represent program directors in their absence, coordinate projects such as in-service teaching workshops and conferences, and manage multiple budgets including CSME, ENVS, as well as interdisciplinary grants. The individual will advise program leads on budgets as well as assist in program research and needs assessments. The individual will also be responsible for general clerical, administrative, and office duties and provide assistance to students, staff, and faculty. Duties will also include assistance with acquiring supplies, working with a variety of computer programs, and general record-keeping. Necessary skills include the ability to communicate, interact, and coordinate with students, campus, and community; prepare and compose departmental/campus documents including correspondence; maintain records and budgets; and, manage major events and workshops. The position requires discretion, judgment, ability to multi-task and the ability to maintain private and sensitive information.
Required Qualifications
Required:
- High school diploma or equivalent
- Three years clerical, secretarial, administrative support or office manager experience, including budget management.
- Experience using MS Word, Excel, Email, or other basic office software applications
Preferred:
- Excellent verbal and written communication skills.
- Ability to interface effectively with a diverse clientele.
- Experience with data entry programs (i.e. Banner or similar), purchasing programs (Paw Place or similar) and data accessing programs (i.e. Argos, Crystal, or similar).
- Comfortable learning new software programs independently and on-the-job and able to stay current with updates.
- Some college education.
- Experience in education involved with course planning or setup, enrollment, or student and faculty support.
