Job description: The Johns Hopkins School of Nursing (SON) is seeking a Student Records Database Analyst who will report to the Director of Student Records. Primary tasks will include providing cross-functional support for performing front-end system tasks, including but not limited to, assisting in the maintenance of academic records, ensuring the integrity of student academic records, SIS configuration changes, maintaining data standards, etc.
The position will require the Student Records Database Analyst to develop and maintain a detailed understanding of many different tools and business processes, with special consideration given to tasks involving the Student Information System (SIS). As well as the ability to interact with both technical and non-technical staff across various areas of responsibility.
Specific Duties & Responsibilities
- Actively participate in the design, implementation, and development of technology-related applications as well as identify and troubleshoot IT system-related issues that affect student records.
- Responsible for creating, testing, and approving all JIRA submissions for the Student Records Office. Collaborate with the IT team (UIS) to produce items through the JIRA ticketing system.
- Assist with maintaining the student record database. Insert new course information, update credit hour changes, revise dual degree program system settings, and other additional duties.
- Assist with entering registration restrictions and rules in the student record system (SIS).
- Assist with system-related procedures such as activating student records and troubleshooting JHED issues.
- Maintain User Access to Student Records systems. Create User roles when needed for functional groups.
- Assist with the design and layout of the Office of Student Records website and continuously update it with pertinent information.
- Establish procedural workflow and requirements needed to implement SQL reporting server integrity report to review student full-time enrollment statuses. Update the student record system to reflect accurate enrollment statuses.
- Responsible for collecting and transferring student clinical evaluations from Exxact software (Academic Affairs) to the Onbase document retention system.
- Create ad-hoc Excel reports for the badge office, Cooley Fitness Center, and other departments each term.
- Attend remote and/or offsite Registrar system implementation sessions.
- Document and maintain all database workflow procedures, such as Onbase, SIS, CLSS, 25live, etc.
- Serve as a trainer of functional users for new tools and procedures.
- Work with UIS to inactivate old and new instance student records and create a system rule to automate the process.
- Responsible for updating standing reports located in the Registrar reporting server folder.
- Establish procedural workflow and requirements needed to implement SQL reporting server reports for commencement program pages.
- Responsible for downloading and testing graduation software prior to each ceremony. Assist with system and sound check with the venue's team during the day of the ceremony.
- Maintain Duplicate Contact Review reports in the Student Case Management portal.
- Enter academic periods and years in SIS.
- Review and revise post make post-make-aware process when needed.
- Utilize and update Asana for project timelines.
- Analyze and make recommendations to improve existing processes.

- Strong computer proficiency and the ability to quickly learn and assimilate new systems and information.

- Demonstrated ability to handle multiple competing tasks and demands' respond with appropriate urgency to situations that arise and solve difficult problems proactively, efficiently, and with diplomacy.
- Bachelor's Degree required.
- One year of experience is required.
- Two years of professional work experience.
- Proficient with Microsoft Excel.
- Higher education administration experience, especially in a Registrar's office.
