Job Summary
The Administrative Assistant/Receptionist, reporting to the Office Manager, plays a vital role in both reception duties and administrative support functions, serving as the initial point of contact for our organization.
Duties And Responsibilities
 *Daily Reception Duties:**
 Warmly greet and welcome guests, directing them to appropriate staff members and offices
 Serve as a point of contact for new hires, providing office tours
 Manage incoming calls and voicemail, directing inquiries to the relevant personnel
 Assist with deliveries and shipments
 Collect and sort mail, ensuring a tidy reception area
 Maintain cleanliness and organization in reception and conference rooms
 Assist with stocking and tidying the café area
Administrative Duties - General
 Monitor and replenish kitchen inventory throughout the day
 Manage conference room calendars and resolve scheduling conflicts diplomatically
 Ensure overall office cleanliness and orderliness
 Monitor and order office supplies as needed
 Assist with shipping and materials for meetings and trainings
 Coordinate office events and meetings, including ordering lunches
 Provide support for company hospitality and incentives
 Perform ad-hoc administrative tasks as required
Administrative Duties - Accounting/Finance Team Assistance
 Prepare expense and specialty reports as requested
 Collaborate with the Accounting team
 Assist with bill processing and check issuance
Qualifications
 High School Diploma or GED required; Associates or Bachelor's degree preferred
 Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
 Previous experience in reception or administrative roles preferred
 Strong organizational and time management skills
 Excellent oral and written communication skills
 Interpersonal skills and professionalism in interacting with all levels of personnel
 Ability to maintain confidentiality and discretion
 Proactive and resourceful in a fast-paced environment
 Strong sense of teamwork and willingness to assist as needed
Position Requirements
This role primarily operates in an office environment, with potential for remote work. Physical requirements include prolonged periods of sitting or standing, computer use, and occasional lifting and bending.
