In this fully remote position, you will be solely focused on providing full-time onboarding administrative support. Your primary responsibility will be to coordinate the onboarding of new clientsÂcollecting documentation, login credentials, and other materials essential for a seamless start. YouÂll interface with both clients and our internal teams to ensure all details are accurately gathered, securely stored, and properly organized.
What You Will Own & Improve Upon
 Client Onboarding & Administrative Support
 Primary Point of Contact: Manage initial communication with new clients, gather all required documentation, logins, and passwords.
 Collaborative Coordination: Work closely with our client accounting teams to ensure a smooth, timely start for each engagement.
 Proactive Problem-Solving: Identify potential roadblocks early and collaborate with team members to resolve them.
 Team Collaboration
 Clear Communication: Liaise with internal team members (including managers and accountants) to confirm onboarding requirements and deadlines.
 Information Sharing: Update relevant databases, spreadsheets, or project management tools to keep stakeholders informed of progress.
 Third-Party Interactions
 Client Experience: Interact with new clients in a professional, friendly manner that reflects our commitment to excellent service.
 Vendor & Partner Coordination: Occasionally communicate with vendors or external partners, ensuring all onboarding elements are in place.
 Documentation & Process Improvement
 Organized Recordkeeping: Maintain thorough records of each onboarding, ensuring accuracy and accessibility.
 Efficiency Enhancements: Continuously refine onboarding workflows and suggest improvements to enhance client satisfaction and operational efficiency.
What You Already Know
 Software Proficiency
 Skilled in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Calendar).
 Quick to learn new software; knowledge of QuickBooks is a plus.
 Education
 BachelorÂs Degree or AssociateÂs Degree with relevant and compelling work history.
 Communication Skills
 Communicate kindly, clearly, and professionally, leaving clients and colleagues feeling heard and energized.
 Fluent in English; Spanish fluency is a bonus, given our diverse client base.
 Impeccable grammar and a polished, professional demeanor.
