The Executive Meetings & Events Team, within Corporate Affairs & Communications, strives to provide white glove end-to-end event management service for Chairman's Office, Amex Board of Directors and select Executive Committee Members. On average, handle approximately 30+ complex programs annually.

 Corporate Hospitality Programs (at marquee events such as The American Express Golf, U.S. Open Tennis, etc.)
 Signature Client Entertainment Programs (specially curated for executive hosts)

The specialist will report into the vice president, head of executive meetings & events. Support & manage corporate executive meetings and events through the implementation of strategy, delivery of objectives and execution of logistics. The scope of this position is dependent upon assigned account/programs. Scope of work will vary from client-to-client and program-to-program. Perform other duties as assigned by leadership.
How will you make an impact in this role?
PROCESS MANAGEMENT:
 Establish project timelines; establishes a workflow schedule with client and suppliers to facilitate prompt and accurate handling of all program details
 Coordinate budget preparation and management, including preparation of cost estimates, managing meeting related expenses, and post event analysis and reporting.
 Collaborate with Global Business Travel (GBT) to submit hotel RFP, APP and CVENT needs for meetings.
 Assist with venue sourcing, site inspections, request for proposal development, and contract negotiations.
 Coordination of meeting and event logistics, including food and beverage, audio visual, technology, transportation, and other related requirements.
 Serve in an onsite event production capacity for an/all needs related to onsite support including registration table staffing, coordination with on-site AV vendors, etc.
 Assist with budget reconciliation
 Work with creative team to produce collateral and program materials
 Coordination of pre and post event registration process. This includes organizing tracking and sharing event RSVP lists and updating post event attendee lists. Working with CVENT where applicable to manage online event registration websites and email communications.
 Assist in preparation and final production of an/all event specific materials including nametags and event giveaways, etc.
 Able to assist with any level of event including those of a complex nature, large volume, high level of confidentiality, international scope, etc.
 Responsible for ancillary vendor sourcing, coordination & delivery - security, photographer, etc.
 Strictly adhere to all AXP meeting policies and procedures
LEADERSHIP AND RELATIONSHIP MANAGEMENT:
 Act as support to assigned meeting planners to deliver events on behalf of clients
 Ability to manage smaller scale meetings & events
 Assist with databases and app development for programs
 Work closely with support departments to exceed client requirements and objectives.
 Partner with third party suppliers to arrange their services
 May be requested to assist and/or manage VIP, C-Level special projects and oversee VIP logistics/Incentives
 Develop strong relationships with multiple contacts within client and supplier organizations
FINANCIAL MANAGEMENT:
 Work with leader to forecast overall program financials to ensure monthly tracking for actual spend.
 May initiate and reconcile supplier payments working with GBT
 Assist with expense reports
 Work with Third Party Lifecycle Management team on creating and maintaining Vendor SOWs & process unity submissions
Minimum Qualifications
 At least 3+ years corporate meeting planning experience
 Superior written and verbal communication skills and ability to communicate effectively and professionally with all levels of management and clients
 Ability to work in a fast-paced environment while consistently meeting project deadlines and maintaining high quality standards
 Capable of working under pressure with a positive attitude and calm demeanor
 Highly organized, detail oriented, forward-thinking, proactive, and persistent
 Expert ability to influence partners to drive results - analytical skills required
 Strong project management skills with attention to detail and proven success driving results
 Expertise with Excel (data manipulation and analysis, equations, etc.) and PowerPoint (creating and editing presentations)
 Ability to manage projects across businesses, functions and geographic locations
 Must be willing to travel - Domestic and international
Preferred Qualifications
 Corporate Executive meeting planning experience
 Experience with large scale sporting events (tennis and/or golf)
 Experience with meeting industry technology a plus, especially for attendee registration (Cvent)
Salary Range: $55,000.00 to $105,000.00 annually + bonus + benefits
