Key Responsibilities
• Support the Director of Business Operations with dedicated assistance.
• Assist various clients with their administrative and executive tasks.
• Foster positive client relationships and streamline internal processes.
• Act as a liaison between clients' management teams and internal teams on various projects.
• Plan and execute tasks that align with clients' priorities and organizational goals.

Daily And Monthly Duties
• Manage both professional and personal tasks for multiple clients.
• Track detailed records using a timekeeping system.
• Coordinate complex schedules and manage extensive calendar arrangements.
• Organize travel logistics, including booking hotels, transportation, and meals.
• Perform administrative tasks such as typing, dictation, spreadsheet creation, faxing, and maintaining filing systems and contact databases.
• Maintain professionalism and confidentiality in all interactions.
• Handle client communications, answer phone calls, and relay messages.
• Plan and coordinate client events.
• Respond promptly to requests, ideally within 4 business hours.
• Navigate competing priorities and multitask effectively.
• Complete additional tasks as needed.

Skills And Qualifications
• Minimum of 4 years of experience in an administrative role supporting senior management.
• Proficiency in Salesforce.
• Excellent written and verbal communication skills.
• Strong time-management and organizational abilities.
• Proficient in Microsoft Office and familiar with other office productivity tools; quick learner of new software and systems.
• Flexible team player who thrives in challenging situations.
• Ability to maintain confidentiality and handle sensitive information.
• Motivated self-starter with a professional phone demeanor.
• Availability for urgent requests as required.

Preferred Qualifications
• Experience in developing internal processes and filing systems.
• Associate's degree or higher in administration or equivalent experience.
• Knowledge of CRM systems such as Active Campaign, Zoho, Pipedrive, etc.

Schedule
• Monday to Friday
• 10-20 hours per week to start, with opportunities for growth.
