Key Responsibilities
 Support the Director of Business Operations with dedicated assistance.
 Assist various clients with their administrative and executive tasks.
 Foster positive client relationships and streamline internal processes.
 Act as a liaison between clients' management teams and internal teams on various projects.
 Plan and execute tasks that align with clients' priorities and organizational goals.
Daily And Monthly Duties
 Manage both professional and personal tasks for multiple clients.
 Track detailed records using a timekeeping system.
 Coordinate complex schedules and manage extensive calendar arrangements.
 Organize travel logistics, including booking hotels, transportation, and meals.
 Perform administrative tasks such as typing, dictation, spreadsheet creation, faxing, and maintaining filing systems and contact databases.
 Maintain professionalism and confidentiality in all interactions.
 Handle client communications, answer phone calls, and relay messages.
 Plan and coordinate client events.
 Respond promptly to requests, ideally within 4 business hours.
 Navigate competing priorities and multitask effectively.
 Complete additional tasks as needed.
Skills And Qualifications
 Minimum of 4 years of experience in an administrative role supporting senior management.
 Proficiency in Salesforce.
 Excellent written and verbal communication skills.
 Strong time-management and organizational abilities.
 Proficient in Microsoft Office and familiar with other office productivity tools; quick learner of new software and systems.
 Flexible team player who thrives in challenging situations.
 Ability to maintain confidentiality and handle sensitive information.
 Motivated self-starter with a professional phone demeanor.
 Availability for urgent requests as required.
Preferred Qualifications
 Experience in developing internal processes and filing systems.
 Associate's degree or higher in administration or equivalent experience.
 Knowledge of CRM systems such as Active Campaign, Zoho, Pipedrive, etc.
Schedule
 Monday to Friday
 10-20 hours per week to start, with opportunities for growth.
