Key Responsibilities
• Prepare and dispatch invoices to clients on a monthly basis or as required.
• Monitor payments and pursue collections on overdue invoices to guarantee timely revenue flow.
• Maintain precise records of invoicing and payments to ensure financial integrity.
• Engage with school districts to explore potential contracts and bidding opportunities.
• Oversee student and driver scheduling to ensure adequate shift coverage.
• Respond to emails and phone calls with professionalism and promptness.
• Schedule meetings and appointments, coordinating calendars for optimal efficiency.
• Develop and manage spreadsheets, reports, and other critical documentation.
• Assist in organizing company records and files.
• Contribute to the enhancement of office processes and support colleagues with various administrative tasks.
• Organize incoming phone calls and direct them to the appropriate personnel.
• Schedule and organize meetings, documenting minutes as necessary.
• Compose and disseminate emails, memos, and letters.
• Maintain a structured filing system and assist in the development and updating of office procedures.

Required Skills
• Proficient with office equipment, such as printers and fax machines.
• Strong computer proficiency, including familiarity with Microsoft Word, Outlook, and PowerPoint.
• Excellent time management skills, with the ability to effectively prioritize tasks.
• A keen attention to detail and robust organizational skills.

Qualifications
• High school diploma or GED is required; an Associate’s degree or administrative training is preferred.
