As the Executive Assistant business partner at Restaurant365, you will play a primary role in supporting the
Chief Customer Officer (CCO) and as needed, other senior leaders within the Customer Success and Experience team. You will be responsible for providing administrative support including, managing schedules, coordinating meetings, gathering notes and actions from staff and other key team meetings as well as other various tasks to support the CCOâs organizational efficiency and effectiveness. The role will require intuitive and proactive engagement and a strong ability to determine the priorities of the CCO. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to work in a fast-paced startup environment in a wide range of responsibilities. In this role, you will partner closely with the CCOâs leadership teams to support the CCOâs end-to-end administrative, operational needs.How you'll add value:
Calendar Management: Manage and maintain the CCOâs schedule and calendar, including scheduling meetings, appointments, and travel arrangements to optimize time and priorities.
Communication Management: Serve as a liaison between the CCO, staff, vendors and the public. This includes receiving and screening internal/external meeting requests, screening and prioritizing emails and phone calls, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution on behalf of the CCO.
Support and Meeting Coordination: Schedule meetings as needed, and prepare materials for meetings, including agendas, presentations, and reports. Attend meetings as needed, take minutes, and follow up on action items.
Travel Arrangements: Coordinate travel arrangements for the CCO as necessary, including booking flights, accommodations, and transportation, and preparing travel itineraries.
Document Management: Create, organize, and maintain digital and physical files, documents, and records including spreadsheets, special reports, and agenda materials ensuring easy accessibility and confidentiality as needed.
Event Planning: Partner with internal teams in planning and coordinating events, conferences, department summits, and off-site meetings, including logistics, venue selection, and catering.
Vendor Management:Maintain vendor relationships and deliverables.
Expense Management: Process expense reports, reconcile credit card statements, and maintain expense records for the CCO.
Research and Analysis: Conduct research and gather information on various topics as requested by CCO including market trends and industry developments.
Special Projects: Assist the CCO and leadership team in special projects, initiatives, and ad-hoc tasks as needed.
Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
