Position Summary
We are seeking an experienced, friendly, Practice Assistant with a passion for enhancing patient experience. This is an exciting opportunity to be a part of a growing practice while having the flexibility of a part-time, remote position.
As a Virtual Practice Assistant, you will be the command center of the practice. You will be the first point of contact for our patients, managing appointments, patient inquiries, and administrative tasks, all while providing exceptional customer service. This role is crucial in ensuring the smooth operation of our practice and maintaining a positive patient experience.
Location: Fully remote
Schedule: Subject to flexibility.
Monday, Tuesday, Wednesday 9:30 AM- 6:00 PM
Thursday 0- 4 hours, negotiable
Friday 9:00 AM- 5:00 PM
(1 hour breaks on Monday, Tuesday, Wednesday, and Friday)
Primary Responsibilities
 Patient intake, registration, check-in, and communications
 Facilitating the exchange of information between multiple systems in a timely and efficient manner
 Answering incoming calls from patients and clinical partners in a professional and friendly manner, and performing phone outreach as needed
 Managing other clinical tasks as assigned by clinical care team members, including but not limited to prior authorizations for medications, refill requests
 Maintaining and managing accurate patient records
 Collaborating with the team to implement new processes and refine existing ones
 Attending virtual meetings with staff
Must haves
 Exceptional communication skills and ability to relate with patients and colleagues from diverse socio-demographic populations in a professional, empathetic manner
 Excellent organizational skills and the ability to work independently to solve problems within a set of guidelines
 Enjoy working to expand access to care for all patients regardless of gender identity, sexuality, race, disability, or socio-economic status
 Minimum of 1 year of clinical experience as a medical assistant or medical receptionist
 Proficiency using AthenaHealth EHR
 Extremely tech-savvy - demonstrated capability to adapt quickly to technologies (G-suite, Slack, Zocdoc, Phreesia, Aircall, Dockhealth, etc)
 Access to a computer/ laptop with reliable high speed internet
 Enjoy crafting best practices to help grow an organization
 Ability to properly triage problems per company standards and training policies
 Legally authorized to work in the US without restriction
 Able to pass a background check
 Fluent in English
Preferred
 Prior experience working in a telehealth setting
 Experience with primary care practice
 Proficient in medical terminology
 Experience working in an early-stage, rapid-growth startup environment
 Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) Certification
 EMT
 LPN
